LCA Child Safety Standards for Congregations Online Portal

Instructions for completing a Child Safety Assurance or Self-Assessment and Child Safety Standards Action Plan

For assistance, refer to the Guidelines for Self-Assessment and Child Safety Standards Action Plan document located on the Child Safety Standards page.

Introduction

The LCA Child Safety Standard online portal is the preferred method for congregations and parishes to submit their Child Safety Standards documentation. It has been designed to assist congregation and parish councils or leadership teams with:

  1. submitting a Child Safety Assurance
  2. submitting a Self-Assessment
  3. developing a Child Safety Standards Action Plan.

The first page of the online portal allows a user to select the form they need to submit for the current round either the Child Safety Assurance or the Self-Assessment and Child Safety Standards Action Plan.

The Child Safety Assurance is a commitment from a congregation that it has no children in regular attendance at any congregational activities. It is a promise from such a congregation to commit to minimal child safety standards and to reassess should their situation change. It is submitted via this online portal and requires only a few details to be entered on the Congregation/Parish Information page. If this form is for you, scroll to the bottom of this page and select ‘Next’ now.

The Self-Assessment and Child Safety Standards Action Plan requires congregations to review the LCA Child Safety Standards for Congregations and the elements or indicators of each standard and consider how they fulfil them in their context.

Prior to completing the online form, an assessor will need to talk to the leadership team, the Safe Church Coordinator and a selection of congregation members to establish a picture of what child safety work is currently done in the congregation. The assessor should then be able to complete the Self-Assessment and give the congregation a rating for each of the elements using the following scale:

  1. 'We haven’t started on this yet.'
  2. 'We’ve made a promising start.'
  3. 'We’re about halfway.'
  4. 'We’re almost there.'
  5. 'Yes, we meet this!'

The assessor should also fill out some details outlining what they found happening in the congregation (findings) and also anything they noticed could be improved upon (proposed actions). The Self-Assessment PDF is then presented to the council to endorse the ratings, agree, add or amend the next steps or actions and, finally, allocate a responsible person and time frames for ensuring the agreed actions are completed.

Instructions:

Using the form is very straightforward.

The form is designed to be completed over a series of sittings using the 'Save and Continue Later' button. This button creates a link that accesses the form, enabling anyone provided with the link to add information to the form. You must save both the Self-Assessment pages and the Child Safety Standards Action Plan pages at least once each to create the links and at the end of any entry session to ensure your work is saved.

Users are advised that submission of the final Child Safety Standards Action Plan should only occur after the council has considered the Self-Assessment information and after the council has approved all aspects of the plan. This includes all designated ratings, actions, time frames, and delegated persons.

Please note that once the 'Submit' button has been pressed, it is not possible to make changes.

To complete the Self-Assessment and Child Safety Standards Action Plan, please follow these simple steps:

  1. Fill in the Congregation/Parish Information page.
  2. Complete the ratings for each element of each of the ten Child Safety Standards.
  3. Fill in the boxes relating to findings and proposed next steps in the designated areas for each of the standards.
  4. Review the Child Safety Self-Assessment Summary PDF.
  5. Press the 'Next' button to complete the Self-Assessment stage of the form and prefill the plan form – the completed Self-Assessment (as a PDF) will automatically be sent to your chairperson.
  6. When you arrive at the Child Safety Standards Action Plan form, you must save the form again immediately to make a new link to this new form so it can be returned to later – the assessor's last job is to forward this link to the person responsible for finalising the Child Safety Standards Action Plan.
  7. You should then make an appointment with your council to present the Self-Assessment to them.
  8. The assessor's role is then complete.
  9. The council should then ensure it listens to what has been found and either accept the assessor's ratings or make changes, nominate someone to complete the Child Safety Standards Action Plan form and enter any changes to the ratings, any changes to the actions and fill out the fields with who will be taking care of each action and the date it will be attended to.
  10. Once all details are entered, and the council is happy with the finished Child Safety Standards Action Plan, press 'Submit' to complete the form. This will send a PDF copy of the Child Safety Standards Action Plan to the chairperson and Professional Standards.

The Child Safety Assurance is available for congregations that do not expect to see children at their regular worship and have no ministries at Christmas or outside of worship where the attendance of children is anticipated. We ask the chair or nominated person completing this form to ensure this has been or is discussed at a council meeting and that all council members are aware of the below requirements. An email of this assurance will be sent to the two council members on the first page of this form, and we will consider this as digitally signed.

Our congregation recognises that children from diverse backgrounds have unique vulnerabilities and are more likely to be at risk or experience abuse and neglect.
